1. Scope of this Privacy Policy
This Privacy Policy (the "Policy") describes how Worknex, and our affiliated companies (hereinafter "we," "us," or "our") collect, use, and disclose personal information when you visit our website at worknex.com (the "Sites"), request a demo, sign up for a free trial, or otherwise interact with us in connection with our all-in-one business management platform (the "Platform," and together with the Sites, the "Services"). This Privacy Policy is part of our Terms of Use, which govern your use of the Services. Unless we say otherwise, terms used in this Policy have the same meaning as in our Terms of Use.
For purposes of this Policy, "you" means a visitor to our Sites, a prospective or existing Customer, or an individual user authorized by a Customer to access the Platform on the Customer's behalf.
Important note on Customer Data. If your organization is a Worknex Customer, the Platform allows you to store and manage information about your own customers, contacts, employees, and business operations ("Customer Data"). Where we process Customer Data on behalf of a Customer, we act as a service provider/processor, not the controller of that data, and the Customer's own privacy policy — not this Policy — governs the collection and use of that data from its own customers and employees. This Policy addresses (a) personal information we collect about visitors to our Sites and prospective Customers, and (b) personal information of Customer's authorized users needed to administer their account. If we process Customer Data as a processor, our obligations are set out in the applicable Customer Agreement and/or Data Processing Addendum, not this Policy.
By accessing or using our Sites, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy, and you consent to our collection and use of your personal information as described below. If you do not agree with this Policy, please do not use the Sites.
Where required by law, we will obtain additional consent through opt-in mechanisms such as checkboxes or cookie banners. For your rights with respect to cookies, see the Cookie Notice below, which forms part of this Policy.
Our Sites may link to other websites. The privacy practices of those websites are governed by their own privacy policies, and we encourage you to review them.
2. Information We Collect
2.1. Generally. Most of the information we collect is submitted directly by you, but we also collect information automatically when you use our Sites and Platform, and, occasionally, from third parties. "Personal information" means information relating to an identified or identifiable individual.
2.2. Information you provide directly. Depending on how you interact with us, we may collect:
- Contact information, such as your name, company name, job title, email address, and phone number — for example, when you request a demo, start a free trial, sign up for a newsletter, or contact us through a web form.
- Account information, such as a username, password, and account/workspace settings, when you or your organization creates an account with us.
- Billing information, such as billing name, address, and payment details, collected for Customers on paid plans. Payment card details are collected and processed by our third-party payment processor, not stored directly by us.
- Support and correspondence, such as the contents of messages, attachments, or call/chat transcripts when you contact our support team, along with any information you choose to include.
- Feedback and testimonials, such as reviews or quotes you agree we may publish on our Sites, only with your consent.
- Job applicant information, such as your name, contact details, resume, cover letter, and related application materials, if you apply for a position with us.
2.3. Information we collect from other websites and platforms. If you engage with us through a third-party platform (for example, by registering for a webinar hosted on a third-party site, or interacting with our social media pages), that platform may share certain information with us, such as your name and email address, subject to your settings with that platform. Our receipt and use of that information is subject to this Policy; the third party's own collection practices are governed by its privacy policy.
2.4. Information we collect automatically. When you visit our Sites or use the Platform, we and our service providers may automatically collect information such as your IP address, browser and device type, operating system, referring/exit pages, pages viewed, links clicked, and the dates and times of your visit, using cookies, pixels, and similar technologies. 2.5. Platform usage data. When Customers and their authorized users use the Platform, we collect account and usage information necessary to operate the Platform, such as login activity, feature usage, and diagnostic/error logs. This is distinct from the Customer Data that Customers choose to store within the Platform (see Section 1 above).
3. Our Use of Your Information
We use the personal information described above to:
- Provide and support the Services, including setting up and maintaining accounts and free trials, responding to inquiries and support requests, and ensuring the security and functionality of the Sites and Platform;
- Communicate with you, including sending account and transactional notices, responding to demo and contact requests, and, where you have consented or as otherwise permitted by law, sending product updates and marketing communications (see Section 7 below and Section 8 of our Terms of Use);
- Improve and develop our Services, generally using aggregated or de-identified information to understand how our Sites and Platform are used and to improve their functionality;
- Personalize your experience, such as tailoring content, demo scheduling, or marketing outreach to your interests, subject to your choices described in the Cookie Notice;
- Process job applications, to assess qualifications, communicate about the role, and conduct legally permitted background or reference checks with your knowledge and consent; and
- Meet legal and security obligations, including detecting fraud or abuse, enforcing our Terms of Use, and complying with applicable law.
We do not sell your personal information, and we do not share it with third parties for their own independent marketing purposes.
4. Accuracy, Protection, Minimization, and Retention
4.1. Accuracy. We take reasonable steps to keep the personal information we hold accurate and up to date, and to delete information that is no longer needed. You may contact us as described in How to Contact Us to request corrections.
4.2. Protection. We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, or disclosure, including encryption in transit, access controls, and staff training. No security measure is perfect, however, and we cannot guarantee absolute security. See also our Security page for more detail on our platform security practices.
4.3. Minimization and retention. We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce our agreements. Customer Data is generally retained for the duration of the applicable subscription and for a limited period afterward, as set out in the Customer Agreement, after which it is deleted or anonymized, subject to legal retention requirements.
5. Disclosure of Information to Third Parties
We may share personal information with:
- Service providers and subprocessors who perform functions on our behalf, such as cloud hosting, payment processing, customer support tooling, email delivery, analytics, and marketing platforms. These providers are contractually obligated to protect personal information consistent with this Policy and applicable law, and may only use it to provide services to us.
- Payment processors, when you make a payment through the Sites or Platform; your payment card data is handled directly by our payment processor under its own security standards.
- Integration partners, if you or your organization chooses to connect the Platform to a third-party application; that data sharing is controlled by your own settings and governed additionally by that third party's terms.
- Professional advisors, such as lawyers, auditors, and insurers, where necessary for our legitimate business purposes.
- Legal and safety authorities, where required by law (such as a court order or subpoena), or where we believe disclosure is necessary to protect the rights, property, or safety of Worknex, our users, or the public.
- A successor entity, in connection with a merger, acquisition, financing, or sale of assets, subject to the receiving party's agreement to handle personal information consistent with this Policy (or with notice to you of any material change).
We may also share aggregated or de-identified information, which does not identify you, for analytics, benchmarking, or marketing purposes.
6. Your Rights
Subject to applicable law and depending on your location, you may have the right to:
- request access to the personal information we hold about you;
- request correction of inaccurate information;
- request deletion of your information;
- request restriction of, or object to, our processing;
- request a portable copy of your information; and
- withdraw consent, where processing is based on consent.
To exercise these rights, contact us as described in How to Contact Us. We may need to verify your identity before acting on a request, and may decline or limit requests where permitted by law (for example, where fulfilling the request would infringe another person's rights, or where the request is manifestly unfounded or excessive). We will not unlawfully discriminate against you for exercising these rights.
If your organization's data is stored in the Platform as Customer Data, and you are a customer, employee, or contact of that organization rather than the Worknex account holder, please direct your request to that organization; we will support the Customer in responding to your request in accordance with our Customer Agreement.
You may opt out of marketing emails at any time using the "unsubscribe" link included in those emails, or by contacting us directly. You cannot opt out of essential service or transactional communications related to an active account.
7. Text Messages and Telephone Communications
If you provide us with a phone number and affirmatively opt in, we may send you text messages or place calls related to your demo request, free trial, account, or (where you've consented) marketing offers. Message and data rates may apply, and message frequency may vary. You can opt out of text messages at any time by replying STOP, or by contacting us as described below; for help, reply HELP. We will not sell or share your phone number with third parties for their own marketing purposes. Providing a phone number is never a condition of using the Sites or starting a free trial.
8. Children's Privacy
Our Services are intended for business use by adults and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. International Users and Data Transfers
We are based in the United States, and personal information we collect may be stored and processed in the United States or other countries where our service providers operate. Where required by applicable law, we will implement appropriate safeguards for cross-border transfers of personal information.
10. Changes to this Privacy Policy
We may update this Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. If we make a material change in how we use personal information previously collected, we will notify you by email and/or by posting a notice on our Sites, as required by law. Your continued use of the Sites after a change becomes effective constitutes acceptance of the updated Policy.

Because strictly necessary cookies are required to operate our Sites, you cannot refuse them without affecting core functionality. You can also opt out of interest-based advertising generally through industry tools such as the Digital Advertising Alliance or the Network Advertising Initiative, and out of Google Analytics specifically via Google's opt-out tools.
